Acacia Knowledge Solutions Limited is committed to protecting the privacy and personal data of all participants, students, teachers, parents, sponsors, and visitors to our website and our competitions and content platforms.

This Privacy Policy outlines how we collect, use, store, and protect personal information in relation to the Shupavu Learning Games and Competitions.

Applicability of Kenya Data Protection Act

The Privacy Policy and all collection, storage, use, modification, transfer, or destruction of data with respect to Shupavu Learning Games and Competitions will be governed by the Data Protection Act (DPA) of 2019 of the Republic of Kenya and rules and regulations promulgated thereunder. In the event of any inconsistency between the provisions of this Privacy Policy and the Data Protection Act (DPA) of 2019 of the Republic of Kenya and rules and regulations promulgated thereunder, the provisions of such act, rules and regulations will apply and control.

Restricted Application of Shupavu Learning Games and Competitions

Only those students, teachers and schools will be eligible to participate in Shupavu Learning Games and Competitions that (1) accept our Privacy Policy and (2) that are located in jurisdictions in which our Privacy Policy is compliant with applicable national and regional data privacy and related laws and regulations.

By enrolling in the Shupavu Learning Games and Competitions, a student or school represents and warrants that (1) it has accepted our Privacy Policy, (2) it is located in a jurisdiction in which our Privacy Policy is compliant with applicable national and regional data privacy and related laws and regulations, and (3) it has obtained all necessary or appropriate consents to participate in the Shupavu Learning Games and Competitions.

Note on Student Personal Information

Please note that students may register with an alias name. We recommend use of an alias.

In the case of use of aliases, we also recommend schools maintain data on student identity behind an alias.

If a student registers with his or her own name, that name will be available to other registrations on our competitions and content platform, including in the individual rankings and friends page.

The only time when we will require the actual name of students is, in the case of finalists only, when we conduct the final of a competition on a live or synchronous basis. Prior to such final we will liaise with the applicable school to ensure that required consents are obtained.

Information We Collect

We may collect the following types of information:

  • Personal Information: Name, age, school, contact details (email, phone), nationality, etc.
  • Parent/Guardian Information: In the case of finalists, names and contact details for consent purposes.
  • Payment Information: If applicable, necessary details for processing registration fees.
  • General Usage Data: General information about visits to our website and competitions and content platforms, such as IP address, browser type, and pages viewed, collected through cookies or similar technologies.
  • Competitions and Content Platforms Usage Data: Specialized information about engagement with our competitions and content platforms, such as usage, performance, subjects studied, content creation, behaviour, coins, ranking and rewards data.

How We Use Your Information

The information we collect is used to:

  • Manage participant registration and competition and other activity related communications.
  • If applicable, process payments and issue receipts.
  • Provide ranking data and enable students to compete through friends.
  • Send competition related information and updates.
  • Notify schools and participants of competition results.
  • Communicate regarding sponsorship offers, event updates, and marketing promotions.

Data Sharing

We respect the privacy of all individuals and will not share any personal information with third parties, except:

  • With sponsors or internally: Limited to school names and contact information and finalists name and ranking, for marketing communications.
  • With parents, guardians, teachers and schools associated with students.
  • With service providers such as cloud or software hosting platforms, or partners that provide integrated services such as Safaricom or Google.
  • As required by law: If necessary to comply with legal obligations.

Data Protection

We take appropriate security measures to protect personal information from unauthorized access, alteration, disclosure, or destruction.

All personal and payment information is securely processed using industry-standard encryption technologies.

Retention of Data

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law.

Your Rights

A school has the right to:

  • Request access to or deletion of personal information of students and participations from such school.
  • Withdraw consent to marketing communications at any time.
  • Ask for corrections if any personal information is inaccurate.
